Advertising Terms and Conditions

These terms apply to advertising sold for 2027 in Civil War News, Military Antique Collector, and the Civil War Dealers Directory, in our email campaigns, on the Civil War News Facebook page, on our nine network websites, and in the CharlestonintheWar.com companion program.

Rates, ad sizes, and deadlines are not on this page. The current ones are in the media kit and rate card: see Advertise With Us, the 2027 Media Kit (PDF), and the 2027 Rate Card (PDF).

All advertisements are subject to approval by Historical Publications LLC and run at its sole discretion. We do not guarantee that any advertisement will run.

The Agreement

Who this agreement is between

These terms are an agreement between Historical Publications LLC ("we," "us," or "the Publisher"), 3022 South Morgans Point Road, Suite 222, Mount Pleasant, SC 29466, and the business or person named on the insertion order ("you," or "the Advertiser"). If an agency signs for a client, the agency and the client are each responsible for these terms.

What the agreement is made of

Your agreement consists of the signed insertion order, these terms, and the specifications, deadlines, and policies set out below and in the 2027 Media Kit. If they conflict, the signed insertion order controls, then these terms, then the media kit. Nothing printed on your own purchase order changes these terms unless we agree to it in writing.

Orders and acceptance

  1. An order becomes binding when you sign the insertion order and we confirm it in writing. Email is enough.
  2. All advertisements are subject to our approval and run at our sole discretion. We may decline any order or advertisement, before or after acceptance, and we do not guarantee that any advertisement will run. If we decline a paid placement before it runs, we refund what you paid for that placement in full.
  3. Position requests — "right-hand page," or "near the front," for example — are requests, not guarantees, unless the insertion order names a specific cover or position for an added charge.
  4. Positions already sold are not offered. For 2027, the back covers of Civil War News and the Civil War Dealers Directory are sold.

Words we use

Rotation positionA shared website position — leaderboard or rectangle — that rotates among no more than 12 advertisers.

Rates and Payment

Rates and 2027 rate protection

  1. Rates are those on the 2027 Rate Card and in the 2027 Media Kit.
  2. Orders signed by December 31, 2026 keep 2027 rates for the full term of that order, including renewals written into that order. Orders signed later pay the rates in effect when they are signed.
  3. Military Antique Collector frequency rates: two insertions bill at the 1× rate, three to five at the 3× rate, and six at the 6× rate.
  4. Annual website rates are billed as ten months. Quarterly rates save about 10 percent.
  5. Website advertising is free through December 31, 2026. Banners run free of charge on our websites through that date. Paid website placement begins January 1, 2027; a banner with no 2027 order stops on that date. Advertising can begin now: send a completed order form with payment, and the advertising starts once we confirm the order.

Nonprofit organizations

There is no nonprofit discount. Nonprofit organizations pay the same rates as every other advertiser.

Payment

  1. Payment is due in full with your order.
  2. Packages over $2,500 may be paid in 12 equal monthly installments by card. The first installment is due with the order; the rest are charged monthly on the same date.
  3. We accept check, money order, PayPal, and major credit cards. Make checks payable to Historical Publications LLC.
  4. A 3.5 percent convenience fee applies to credit card payments.
  5. If a payment is late or declined, we may pause website and email placements and hold print placements until the account is current. Paused time is not made up.

Please do not write card numbers on the insertion order. Card payments go through our processor's own payment page, or by phone to the office.

Your Promises to Us

By signing an insertion order, you confirm that:

  1. You own or have permission to use every image, logo, trademark, photograph, quotation, and statement in your advertisement.
  2. Your advertisement is truthful, accurate, and not misleading, and you can document any claim of authenticity, provenance, age, condition, or value.
  3. Items offered as original are original. Reproductions, restrikes, replicas, and restored or married pieces are described as such.
  4. Your advertisement, and the goods or services it promotes, comply with all applicable federal, state, and local laws, including the laws governing the sale and transfer of firearms, ammunition, and parts.
  5. The web address in your advertisement leads to your own page named on the order, and contains no malware or deceptive redirects.
  6. Auction catalogs, lot photographs, logos, and prices realized that you give us are yours to authorize, or you hold the auction company's written permission.

You agree to defend and hold Historical Publications LLC, its owners, and its staff harmless from claims, losses, and reasonable legal costs arising from your advertisement, from the goods or services it promotes, or from a breach of the promises above.

What We Guarantee, and What We Don't

  1. We guarantee the placement, the dates or issues, the labeling, and honest reporting.
  2. We do not guarantee views, impressions, clicks, email opens, Facebook reach, leads, inquiries, bids, or sales.
  3. Website campaigns receive a report of impressions and clicks by site, placement, and month. Email campaigns receive a report within seven days of each send showing sends, deliveries, and clicks on each link. We do not report open counts as a result, because email privacy features such as Apple Mail Privacy Protection make them unreliable. Reports exclude automated traffic, and they exclude any period we have identified as distorted by automated traffic.
  4. Rotation positions rotate among no more than 12 advertisers. An exclusive sponsorship shows only your ad or, when no creative is available, one of our own house ads.
  5. Mailing dates for print are planned targets and may shift slightly with printer and postal schedules.
  6. Websites are occasionally unavailable for maintenance, hosting outages, or events outside our control. Brief outages are not a failure to deliver; extended outages are handled as make-goods.

Labeling and Editorial Independence

Every paid placement is labeled "Advertisement" or "Sponsored." Advertising never influences our articles, our book reviews, or our editorial decisions, and paid placement never changes the order of search results on ArtifactSearch.com. Buying advertising does not buy a review, a news story, a Facebook post, or a place in search results.

Auction Catalogs and Prices Realized

We display auction catalogs, lot descriptions, photographs, logos, and prices realized only with the auction company's written permission, which may be withdrawn in writing for future display. Withdrawing permission does not entitle an advertiser to a refund for placements already run.

Permission given "until withdrawn" ends on December 31 of the year after it is granted — permission given in 2027 ends December 31, 2028 — unless it is renewed in writing. Flipbooks are shown only from a website we control, never embedded from a third-party flipbook host.

Sponsored event listing on CivilWarEvents.com: event name, dates, venue and address, a description up to 300 words, one image 1200 × 675 px, and a ticket or information link. It runs until the event ends, to a maximum of 90 days.

Email blasts

Subject line up to 60 characters, with no misleading "Re:" or "Fwd:" and no words in all capitals · preheader up to 90 characters · copy up to 250 words · one to four images 1200 px wide, 1 MB in total, each with alt text · one button up to 25 characters · one main link and up to three secondary links. We add "Sponsored message," our mailing address, and a working unsubscribe link.

Two-send campaign: the body is identical in both sends; only the subject line and one top line change between "Save the Date" or "Coming Soon" and "Coming This Weekend."

Deadlines: book 14 days before the send · materials 7 business days before · proof 5 business days before · your written approval 3 business days before. Without that approval we do not send, and the date is rescheduled.

Facebook companion post

Image 1080 × 1080 or 1080 × 1350 px · text up to 500 characters, which we edit for the page's voice — no emojis, and we add the hashtag line · one link. Never for firearms, ammunition, or parts. A Facebook post is at our discretion and is never guaranteed.

Print

Files: press-quality PDF with fonts embedded, EPS, TIF, PSD, Adobe Illustrator, or a packaged InDesign file. We cannot use Word, Publisher, or PowerPoint files. Photographs at 300 to 400 dpi at printed size; line art at least 600 dpi. CMYK. All ads print in color at no extra charge. Keep type and logos at least 0.25 in. inside the trim.

Display sizes for each publication are in the media kit. Send files to info@historicalpublicationsllc.com; files over 10 MB by our WeTransfer link or a shared Google Drive folder. Proofs are free, two rounds of changes are included on ads we design, and design work is quoted at trade rates before we begin.

Lead times

Measured from the later of the signed order and the approved artwork: website ads go live within 3 business days, featured listings and sponsored event listings within 2, and content cards and sponsorships within 5. Exclusive sponsorships begin on the first of the month. A Featured Artifact spotlight takes about 3 business days, after editorial review.

Advertising We Don't Accept

All advertisements are subject to our approval and run at our sole discretion. We do not guarantee that any advertisement will run. If we decline a paid order before it runs, the payment for that placement is refunded in full. The rules below apply to the advertisement and to the page it links to.

Authenticity — no fakes

  1. We do not accept advertising from businesses that sell fakes, or that sell reproductions as originals.
  2. Reproductions, replicas, restrikes, and reenactor goods must be described plainly as reproductions, both in the ad and on the page it links to.
  3. Restored, repaired, refinished, or married pieces must not be presented as untouched originals.
  4. Dealers and auction companies are vetted before their first order. A documented pattern of complaints about fakes or misrepresentation is grounds to decline or remove advertising. Isolated shipping or service complaints are not.
  5. Claims of provenance, attribution to a named soldier or unit, excavation site, or value must be ones you can document on request.

The advertiser is responsible for complying with every law governing the sale, shipment, and transfer of firearms, ammunition, and parts.

Misleading or unfair advertising

Technical rules for website and email ads

No third-party tracking pixels, scripts, tags, cookies, fingerprinting, or beacons in or with the creative. No redirects through other domains. No pop-ups, pop-unders, auto-playing sound or video, expanding or floating ads, or anything that blocks page content. No fake buttons, close marks, menus, or alerts. No dark patterns.

The CharlestonintheWar.com companion program

Accepted: museums and historic sites; preservation and historical societies; historical tour operators; Charleston-area hotels, inns, and restaurants, for the products offered at the time; bookstores and publishers of Charleston history; archives and libraries; and heritage events. Plantation sites may advertise, including weddings and events, reviewed individually, and only in labeled sponsor modules.

Declined: firearms and ammunition; political advertising; and anything presented as editorial. Every Charleston sponsorship is also subject to our approval at our sole discretion. Paid material never appears inside photographs, captions, rosters, transcriptions, primary sources, or research pages.

Site-level refusals

Any network site may refuse a category, an advertiser, or a campaign that does not fit its audience, even when the ad is otherwise acceptable. We move the booking to another site, or refund the affected portion.

Our right to remove or suspend an ad

We may remove or suspend an advertisement at any time if we reasonably believe it breaks these rules, the law, or a platform's rules; if the page it links to changes to prohibited content; or if we receive a credible complaint that the advertiser has sold fakes or reproductions as originals. If we remove an ad for any reason other than a breach by you, we refund the unused portion.

Cancellation

Website placementsCancel with 30 days' written notice. Placements run through the notice period. Unused prepaid months after the notice period are refunded. Months already used are billed at regular à-la-carte monthly rates, so a quarterly, annual, or package discount is recalculated for the time actually used.
PackagesEach part follows its own rule above, and the package discount is recalculated at regular rates for the months and issues already used. Items already delivered are revalued at regular à-la-carte rates; the refund is what you paid, minus that value, and minus any print already past its reservation deadline.
Installment packagesCancellation ends future website and email placements after the 30-day notice. Installments continue until the revalued amount for delivered items and committed print is paid. Any overpayment is refunded.
Our cancellationIf we cancel a placement for a reason other than your breach, we refund the unused portion in full.

A worked example. A rectangle bought for a year at $950, billed as ten months. Written notice is given at the end of month 5, so the ad runs through month 6. Months used: 6 × $95 = $570. Refund: $950 − $570 = $380.

Written notice means an email to info@historicalpublicationsllc.com, or a letter to the office. Notice runs from the day we receive it.

If a Placement Doesn't Run

  1. When a make-good applies: a placement did not run as ordered because of our error, or because of a failure within our control — the wrong issue, a missing ad, a website position that did not serve for an extended period, an ad shown on a site that had refused it, or an email sent on the wrong date.
  2. What we do, at our choice and after talking with you: we extend the placement by the missed time on a website, re-run the ad in the next available issue in print, or re-send on the next open week by email; or we credit the missed portion toward a future placement, or refund it if you do not want a future placement.
  3. What doesn't qualify: results below your expectations, whether views, clicks, opens, leads, or sales; Facebook posts, which are never guaranteed; your late or incorrect materials; errors in material you approved on a proof or a test; minor color variation in print; brief website outages; internet, email-provider, or platform changes outside our control; and mailing dates that shift with printer and postal schedules.
  4. How to ask: in writing, to the office.
  5. Limit: a make-good is the full remedy for a missed placement.

Limit of Liability

Our total liability for any claim relating to an order never exceeds the amount you paid for the placement at issue. We are not liable for lost profits, lost sales, or indirect or consequential damages, or for errors in material you supplied.

Events Outside Our Control

We are not responsible for delay or failure caused by events beyond our reasonable control, including weather, printer or postal delays, power, internet, or hosting outages, platform changes by Meta or by email providers, and government action. Affected placements are handled as make-goods.

  2. Labels are ours. We add them. Advertisers may not remove, shrink, or restyle them, or build look-alike labels into artwork.
  3. Clear and prominent. Labels appear before or beside the paid content, in a size and contrast a reader will notice on a phone and on a desktop, and they are readable by screen readers.
  4. No disguise. Ads may not copy our article layout, bylines, headlines, or search-result design. Sponsored content cards use a visibly different frame from editorial content.
  5. Editorial independence. Advertisers never see or approve articles before publication, never influence book reviews, and never buy a news story. Paid placement never changes the order of ArtifactSearch.com search results.
  6. Links. Paid links on our websites carry rel="sponsored" so search engines can identify them.
  7. Staff and partners. Our staff do not write about an advertiser's product in editorial content in exchange for an ad. If editorial covers an advertiser, that is an editorial decision, made separately.

Privacy for Advertisers

What we measure. Website ads are counted by ArtifactSearch.com's own first-party system: an impression when at least half the ad is on screen for one second, and a click when a reader follows the ad. Each ad request tells the system the site, the page type, the section, and the device type — desktop, tablet, or phone — so the right ad is chosen and reported. Automated traffic is filtered out. Each site's privacy page describes this; ours is our Privacy Policy.

What we don't do.

What you receive. Reports contain totals only: impressions, clicks, and click rate by site, placement, device, and date, and email sends, deliveries, and clicks by link. They contain no names, email addresses, IP addresses, or browser details of readers. Traffic that reaches your website through tracked links appears in your own website statistics, and what you collect there is governed by your own privacy policy.

Information about you. We keep the business contact, billing, order, and creative information needed to run your campaign, invoice you, and meet tax and accounting obligations. Card payments are handled by our card processor or by PayPal; we do not store full card numbers. We do not sell advertiser information.

On the Insertion Order

The insertion order carries a short summary of these terms and a few declarations you confirm by signing:

By signing, you confirm that you are authorized to bind the advertiser named on the order, that you accept the order and these terms, and, if you are paying by installments, that you authorize Historical Publications LLC to charge the card on file for each monthly installment until the package total is paid.

Changes, Governing Law, and Notices

Changes to these terms. We may update these terms for future orders. The version in effect when you signed governs your order. Terms are dated on this page.

Governing law. These terms are governed by the laws of the State of South Carolina. Disputes are brought in the courts of Charleston County, South Carolina.

Whole agreement and notices. The signed insertion order, these terms, and the specifications and policies referred to above are the whole agreement. Notices must be in writing — email counts — to Jack W. Melton Jr., Historical Publications LLC, 3022 South Morgans Point Road, Suite 222, Mount Pleasant, SC 29466.
